Terms of Service
These terms set out the deal between you and AIP when you use our software. We've kept them plain-English and reasonable — please read them before you sign up.

1. Who these terms are between
These Terms of Service ("Terms") are an agreement between AIP — AI Procurement ("AIP", "AIProcurement.ie", "we", "us"), an Irish business, and the organisation that signs up to use the service ("you", "the customer"). By creating an account, starting a trial, or using AIP, you agree to these Terms on behalf of your organisation and confirm you're authorised to do so.
2. The service
AIP is AI stock-and-buying software for businesses. It watches your stock, sources parts and verifies live supplier prices, drafts purchase orders for your approval, tracks and chases deliveries, and reports your savings. We may improve, change or add to the service over time. Features described on our website are the current offering and may evolve.
3. Accounts & eligibility
- AIP is for business use only — it isn't intended for consumers.
- You're responsible for the accuracy of your account details, for keeping your login credentials secure, and for activity under your account.
- Tell us promptly at contact@aiprocurement.ie if you believe your account has been compromised.
4. Free trial, subscriptions & billing
- Free trial. New customers can start a 14-day free trial. No charge is taken during the trial unless you choose to continue.
- Subscriptions. After the trial, AIP is a monthly subscription. Current plans and prices are shown on our sign-up page.
- Payment. Billing is handled by our payment processor, Stripe. By subscribing, you authorise us (via Stripe) to charge your chosen payment method for the applicable fees. AIP does not store your full card details.
- Auto-renewal. Subscriptions renew automatically each billing period until cancelled, at the then-current price for your plan.
- Cancellation. You can cancel anytime — there's no lock-in and no long-term contract. Cancellation stops future renewals; it takes effect at the end of your current paid period, and fees already paid are non-refundable except where required by law.
- Price changes. We may change subscription prices, but we'll give you reasonable notice before a change applies to your renewal.
- Taxes. Fees are exclusive of VAT and other applicable taxes, which will be added where required.
5. Acceptable use
You agree not to misuse AIP. In particular, you won't: break the law or infringe others' rights; attempt to access accounts or data that aren't yours; probe, scrape, overload or disrupt the service or its security; reverse-engineer or copy the software except as the law allows; resell or provide the service to third parties without our agreement; or upload malicious code or unlawful content.
6. Your data & ownership
Your data stays yours. You own the stock, supplier, pricing and other data you put into AIP ("Customer Data"). You grant us the permission needed to process that data solely to provide and improve the service for you. We don't sell your data and we don't share it with other customers. How we handle personal data is set out in our Privacy Policy, and how we protect data is described on our Security page. You can export your data (for example to CSV) while your account is active.
7. How AIP acts on your behalf
- You approve every order. AIP acts on the buyer's behalf, but no purchase order is placed without your sign-off. Autopilot for small, routine reorders is opt-in and bounded by limits you set.
- We never move money. AIP does not take payment for goods and does not sit between you and your supplier financially — you pay your suppliers directly.
- You're responsible for your own purchasing decisions, approvals and limits.
8. Third-party suppliers
AIP surfaces prices and suppliers to help you buy, but AIP is not a party to the purchase contract between you and any supplier. Supplier prices, availability, lead times and terms are set by the suppliers, can change, and may contain errors. Any purchase is a contract directly between you and your supplier, on their terms. We don't guarantee any supplier's goods, pricing or performance.
9. Warranties & "as is"
We work hard to keep AIP reliable, accurate and available, and to verify prices before you order. But the service is provided "as is" and "as available", and to the extent permitted by law we don't give implied warranties (for example of merchantability or fitness for a particular purpose). AIP assists your procurement; it doesn't replace your own commercial judgement, and we don't warrant that it will be uninterrupted or error-free.
10. Limitation of liability
To the maximum extent permitted by law, neither party is liable for indirect, incidental, special or consequential losses, or for loss of profits, revenue, data or business. Our total aggregate liability to you arising out of or relating to the service in any 12-month period is limited to the subscription fees you paid us for AIP in that period. Nothing in these Terms limits liability that can't be limited by law (such as for death or personal injury caused by negligence, or for fraud).
11. Indemnity
You agree to indemnify us against third-party claims arising from your misuse of the service, your breach of these Terms, or your Customer Data or purchasing activity, to the extent such claims result from your acts or omissions.
12. Suspension & termination
You can stop using AIP and cancel at any time. We may suspend or terminate your access if you materially breach these Terms (for example non-payment or prohibited use), or where we must do so to comply with the law or protect the service or other customers. On termination, your right to use AIP ends; you can request an export of your Customer Data within a reasonable period, after which we may delete it in line with our Privacy Policy.
13. Changes to these terms
We may update these Terms as the product and the law evolve. We'll change the "last updated" date above and, for material changes, give you reasonable notice. If you keep using AIP after a change takes effect, that counts as accepting the updated Terms.
14. Governing law
These Terms are governed by the laws of Ireland, and the courts of Ireland have exclusive jurisdiction over any dispute, without prejudice to any mandatory consumer or statutory protections that apply.
